ROLE IMPACT
The Office & Project Coordinator plays a critical role in supporting senior staff and organizational operations. This position ensures smooth internal and external communications, streamlines administrative workflows, and contributes to the development and management of departmental initiatives, compliance efforts, and community outreach programs.
KEY RESPONSIBILITIES
• Provide administrative support including correspondence, scheduling, note-taking, and project tracking
• Serve as first point of contact for internal and external stakeholders via phone, email, and in person
• Coordinate training programs, safety initiatives, onsite events, and public-facing presentations
• Support policies, budgets, grants, and contract management
• Manage records, generate reports, and ensure compliance with documentation standards
• Maintain supplies and inventory; process purchase orders, invoices, and credit card reconciliations
• Organize logistics for meetings, including board or council presentations
• Respond to public information requests in accordance with regulations
MINIMUM QUALIFICATIONS
• High School Diploma or GED required; Bachelor’s degree in Public Administration or related field preferred
• Minimum 2 years of administrative experience preferred
• Must possess a valid State of Texas Driver’s License
• Must pass a pre-employment drug screening and/or post-offer physical exam

• Microsoft Office Suite (Word, Excel, Outlook)

• Scheduling and workflow platforms
• Office machinery: printers, scanners, copiers, fax machines, calculators

• Strong verbal and written communication, including proficiency in English grammar and punctuation
• High attention to detail with the ability to manage multiple tasks under deadlines
• Exceptional customer service skills and professionalism in handling confidential information
PHYSICAL REQUIREMENTS
• Ability to lift up to 45 pounds regularly
• Frequent bending, reaching, kneeling, and standing for file retrieval and event setup
• Extended periods of typing, data entry, and visual monitoring
• Work primarily performed in an office environment
