Role Impact
The Office Assistant II provides intermediate to advanced administrative and clerical support to ensure efficient daily operations across departments. This role supports payroll processes, customer service functions, document management, and internal communications. Success is defined by accuracy, responsiveness, strong organizational skills, and consistent professional service to internal and external stakeholders.
Key Responsibilities
• Perform intermediate to advanced office support functions, maintain filing systems (digital and physical), and assist with payroll-related tasks
• Complete forms, maintain logs, collect payments, prepare cash reports, and compile data to support routine administrative processing
• Serve as receptionist; communicate with citizens, employees, agencies, departments, and vendors in person and by phone, providing accurate information and direction
• Prepare, review, and proofread correspondence, memos, and reports for leadership signature; edit and update documents for accuracy and compliance
• Sort, distribute, and process incoming and outgoing inter-office and U.S. mail; operate reproduction equipment (copiers, printers, scanners) and support copy service requests
Minimum Qualifications
• Experience performing administrative support, clerical, or office assistant duties in a professional environment
• Proficiency with Microsoft Office (Word, Excel, Outlook)
• Strong customer service, communication, and organizational skills

• Microsoft Office Suite (Word, Excel, Outlook)
• Multi-line phone systems
• Office equipment (copiers, scanners, printers)
• Filing systems (electronic document management and physical records)
• Cash handling and reporting logs
Preferred Skills
• Bilingual in Spanish and English
• Experience supporting payroll functions
