ROLE IMPACT
The Sales Support Specialist ensures the pharmaceutical sample program is executed in full compliance with the Prescription Drug Marketing Act (PDMA), FDA regulations, and internal Standard Operating Procedures (SOPs). This role drives accurate sample accountability, order management, and field sales support operations. Success is defined by compliant sample distribution, timely order fulfillment, accurate reporting, and responsive stakeholder service across cross-functional teams.
Key Responsibilities
• Manage day-to-day operations of the sample program, ensuring compliance with PDMA, FDA, Good Distribution Practices (GDP), SOX, and internal sampling controls.
• Serve as primary point of contact for field sales support, monitoring and responding to shared inbox communications and resolving inquiries with accuracy and urgency.
• Process order entry, fulfillment coordination, invoicing, returns, and allocation management to maintain high service levels.
• Collaborate cross-functionally with Legal, Compliance, IT, Supply Chain, Sales, Marketing, and third-party logistics (3PL) or sample accountability vendors to resolve systemic issues and improve processes.
• Maintain accurate rep rosters by tracking onboarding, territory changes, and terminations across shared business units; support KPI reporting and audit readiness.
Minimum Qualifications
• High school diploma or GED required.
• 3–5 years of customer service or sales support experience in a regulated environment (e.g., pharmaceutical, healthcare, finance).
• Strong working knowledge of Microsoft Office (Excel, PowerPoint, Outlook, Teams) with ability to operate independently without basic training.
Core Tools & Systems
• ERP systems (Oracle) and order entry platforms
• Sales Force Automation (SFA) and virtual inventory management systems
• Electronic Data Interchange (EDI) and system interface troubleshooting
• Microsoft Excel and Power BI for reporting and performance tracking
• Outlook and shared mailbox management
Preferred Skills
• Experience supporting pharmaceutical sample programs or regulated product distribution.
• Working knowledge of PDMA and current Good Manufacturing Practices (cGMP).
• Proven ability to implement process improvements and analyze operational trends.
This position operates in a professional office and warehouse-connected environment.
