ROLE IMPACT
This role provides advanced administrative and clerical support to ensure smooth day-to-day operations across departments. The Administrative Support Specialist improves efficiency by coordinating activities, preparing reports, supporting accounting functions (Accounts Payable and Accounts Receivable), and assisting with projects. Success is defined by accuracy, organization, responsiveness, and the ability to support leadership with reliable information and professional communication.


Key Responsibilities
• Provide administrative support under general supervision to assist management and departmental teams
• Perform clerical and secretarial duties including answering phones, scheduling meetings, and managing correspondence
• Support Accounts Payable (A/P) and Accounts Receivable (A/R) processes, including invoice tracking, payment processing, and record reconciliation
• Research procedures, gather data, and prepare reports, documents, and project summaries
• Assist with budget tracking, expenditure review, and analysis; maintain daily records, logs, and operational reports
• Respond to customer service inquiries, research concerns, and interpret policies and procedures for staff and the public


 Minimum Qualifications
• Associate degree or higher required
• Experience supporting administrative operations with exposure to Accounts Payable (A/P), Accounts Receivable (A/R), payroll, or purchasing processes
• Strong written and verbal communication skills with the ability to prepare clear, accurate reports


Core Tools & Systems
• Microsoft Office Suite (Word, Excel, Outlook)
• Accounting or financial management systems (A/P, A/R modules)
• Payroll and purchasing systems
• Multi-line phone systems and general office equipment


Preferred Skills
• Ability to analyze information and make sound decisions
• Experience maintaining organized records and handling sensitive information professionally
• Strong interpersonal skills with the ability to build effective working relationships
